Some organisations class tail spend as the bottom 20% of spend, while others might set a financial level such as \u00a3100k or \u00a31million.<\/p>\n<p style=\"text-align: justify;\">According to\u00a0<a href=\"https:\/\/www.cips.org\/knowledge\/procurement-topics-and-skills\/operations-management\/managing-the-tail\/#:~:text=Tail%20spend%20which%20can%20often,awareness%20of%20the%20procurement%20team\" target=\"_blank\" rel=\"noreferrer noopener nofollow\" class=\"external\">CIPS<\/a>, tail spend \u201ccan often be referred to as rogue spend or maverick spend, is usually small value purchases that are conducted by the organisations outside of a contract and often outside of the awareness of the procurement team.\u201d<\/p>\n<p style=\"text-align: justify;\">But that\u2019s a bit wordy for me and if you\u2019ve read any of my other blogs you\u2019ll know I like to explain things in plain and simple terms so, very simply, tail spend is mostly all those low value, fiddly suppliers that you\u2019ve probably only ever used once but shouldn\u2019t have, and will probably never use again.<\/p>\n<p style=\"text-align: justify;\">But there are a few genuine, real value suppliers in there, such as The Classification Guru\u2026.<\/p>\n<p style=\"text-align: justify;\">The best way to really explain it is to visualise it, mainly because it actually looks like a tail\u2026<\/p>\n<h3 class=\"wp-block-heading\"><strong>So, why is tail spend such a problem?<\/strong><\/h3>\n<p style=\"text-align: justify;\">Well first of all, generally, there\u2019s a lot of it. Even though it\u2019s only 20% of spend, it can be thousands or hundreds of thousands of rows of data. And, who has time to deal with that, right? Especially when you\u2019re struggling to manage the strategic 80%, and how valuable is it to use your time classifying a line for \u00a31.50\u2026 and that\u2019s all true, however, it\u2019s still important to manage tail spend because today\u2019s tail spend could be tomorrow\u2019s strategic spend.<\/p>\n<p style=\"text-align: justify;\">Imagine a scenario where you only classify your data every six months and you last classified your data a month or two before year-end, and you also have a new supplier who has a value of \u00a3100k.<\/p>\n<p style=\"text-align: justify;\">It falls into tail spend, however, over the next six months they become a strategic supplier, but no one has picked up that this spend is not being classified\u2026 Is it the end of the world?<\/p>\n<p style=\"text-align: justify;\">No. But could the wrong decisions be made because the right information wasn\u2019t available? Absolutely.<\/p>\n<h3 class=\"wp-block-heading\"><strong>What\u2019s the\u00a0<\/strong>solution<strong>?<\/strong><\/h3>\n<p style=\"text-align: justify;\">Well, there\u2019s no easy or quick fix. The \u201ceasiest\u201d option is to outsource it, but how is it being classified by the third party supplier? Is it automated? Is a team doing it? If so, how experienced are they? And are they classifying 100% of the data? It\u2019s hard to know.<\/p>\n<p style=\"text-align: justify;\">I know many suppliers will classify 90-95% of the value, but that can still leave hundreds, if not thousands of lines unclassified. And the truth is because it\u2019s small value items in the large scheme of things, it could be wrong but no one is checking\u2026 but what if that tail spend is tomorrow\u2019s strategic spend?<\/p>\n<p style=\"text-align: justify;\">Another option is to manage this in-house. This requires a lot of time, patience, attention to detail, and thoroughness, but the reality is most people are already overloaded with higher priority tasks, so who is there to do it, and if they do it will it end up slipping down their to-do list?<\/p>\n<p>It\u2019s not a great solution.<\/p>\n<p style=\"text-align: justify;\">That\u2019s why you need The Classification Guru. 100% of your spend data will be classified, by hand (or eye) by a team with a combined experience of over 40 years. Your suppliers will be researched and the right classification will be assigned within a much shorter period of time than you could do in-house.<\/p>\n<p style=\"text-align: justify;\">Will it cost you? Of course it will, but let\u2019s think about it this way\u2026 yes, you could wash your car yourself but wouldn\u2019t you rather have it hand valeted? Absolutely.<\/p>\n<p style=\"text-align: justify;\">Plus, you will more than recoup the costs of the classification through spend analytics when you have your shiny new data set back\u2026 suddenly supplier rationalisation, spend visibility and cost savings become much easier!<\/p>\n<h3 class=\"wp-block-heading\"><strong>But that\u2019s not enough\u2026<\/strong><\/h3>\n<p style=\"text-align: justify;\">The secret to keeping your data clean \u2013 and keeping track of your tail spend \u2013 isn\u2019t really a huge secret, it\u2019s really a case of good housekeeping!<\/p>\n<p style=\"text-align: justify;\">You need to check and maintain it regularly. In the same way you give your carpets a regular once-over with the vacuum, regularly checking in with your data makes life easier in the long run.<\/p>\n<p style=\"text-align: justify;\">And, just like a weekly or twice weekly vacuum around the house, it\u2019s a good idea to check in on your data on a monthly or quarterly basis.<\/p>\n<p style=\"text-align: justify;\">This is still just as important even if you have a third-party supplier checking over your data. You should still spot-check your data once in a while to ensure your supplier is fulfilling their obligations.<\/p>\n<p style=\"text-align: justify;\">And, if your team is running the checks for you, make sure you check in with their progress once in a while to make sure everyone\u2019s on board with the same standards and cleaning the data in the same way. It\u2019s also a good opportunity for highlighting development areas for your team.<\/p>\n<h3 class=\"wp-block-heading\"><strong>So, how frequently should you check your data?<\/strong><\/h3>\n<p style=\"text-align: justify;\">Let\u2019s go back to that carpet analogy. Leaving your carpet for a week doesn\u2019t matter. It doesn\u2019t really matter if you leave it for a month (as long as you\u2019re ok with living with dirty carpets). But leave that once fresh and spotless carpet too long and by the time you pull out your vacuum cleaner, your carpet will be beyond saving\u2026<\/p>\n<p style=\"text-align: justify;\">It\u2019s the same with your data. Data that is not maintained will slowly become unusable over time. Incorrect or conflicting information will build up. AI outputs become corrupted. And because you can\u2019t afford to use bad data, you end up spending significant time or money to fix the problem. Ouch.<\/p>\n<h3 class=\"wp-block-heading\"><strong>Regular data maintenance means:<\/strong><\/h3>\n<ul>\n<li style=\"text-align: justify;\">Better data accuracy for better business decisions.<\/li>\n<li style=\"text-align: justify;\">Avoiding a time-consuming and costly data clean-up operation (because your data won\u2019t slowly become corrupted).<\/li>\n<li style=\"text-align: justify;\">A better-trained and more-responsive data team. Doing a little bit of something regularly is always easier than doing a lot of it occasionally.<\/li>\n<li style=\"text-align: justify;\">An informal opportunity to stay in touch with the work your 3rd party supplier is doing.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Just like spend data classification, the definition of tail spend is subjective.
