And you wouldn\u2019t treat it roughly, so it falls apart at the seams. So, why do that with your data? If you\u2019ve just spent thousands on expert data classification, you need to maintain it. This way, it stays expertly classified!<\/p>\n<h4><strong>How Long Do I Need to Keep my Data COAT On?<\/strong><\/h4>\n<p style=\"text-align: justify;\">You should always keep your data COAT on all year round, regardless of the seasons. Your data will almost certainly be correct when you receive it. It\u2019ll have its COAT on. It\u2019ll be Consistent, Organized, Accurate, and Trustworthy. But, unless you look after it, it will only stay that way for a short period of time.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-1983\" src=\"https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h.png\" alt=\"\" width=\"497\" height=\"500\" srcset=\"https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h.png 497w, https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h-298x300.png 298w, https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h-150x150.png 150w, https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h-60x60.png 60w, https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h-40x40.png 40w, https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/oie_T0H01Yi3Hp6h-156x156.png 156w\" sizes=\"(max-width: 497px) 100vw, 497px\" \/><\/p>\n<p style=\"text-align: justify;\">Updates and changes mean that before you know it, your once neat and tidy data sets will contain unclassified data, data that\u2019s been incorrectly classified by your team, or there are typos, missing information, and cut &amp; paste errors, to name but a few issues.<\/p>\n<p style=\"text-align: justify;\">Specifically, it is essential that you continue to check and maintain your data for any errors that can have a knock-on effect.<\/p>\n<p style=\"text-align: justify;\">For example, you might have a supplier that must be classified in a specific category. Even if it seems unusual, you must make sure it\u2019s classified like this. For example, you might usually classify Google as Cloud or Software under IT, but your organization is using Google Ads, so it should always be classified as Advertising under Marketing. Having a data COAT on will help ensure that regardless of which team member is classifying the data, it will always be correct. And if you\u2019re using technology or AI, you can add these rules in to make sure it\u2019s always correct.<\/p>\n<p style=\"text-align: justify;\">It&#8217;s also the same for address data, define whether you want to spell out counties or states in full, or abbreviate them. And with phone numbers do you want to add in dialling codes?\u00a0What about the use of spaces, brackets and dashes?\u00a0Get everyone inputting correctly at the point of entry and this will save you so many hours, days or weeks in the future having to fix everything.<\/p>\n<p style=\"text-align: justify;\">It&#8217;s really important to document this process and have clear guidelines to make sure everyone is doing the same process the same way, it can be hard to incentivise people to do this, but if their accuracy is tied to performance and you have the ability to track changes and errors, this will be a great motivator.<\/p>\n<h4><strong>How Do I Keep my Data COAT On?<\/strong><\/h4>\n<p style=\"text-align: justify;\">There\u2019s no big secret here, the key to keeping your data COAT on is maintenance, it\u2019s really a case of good housekeeping \u2013 you need to check and maintain it on a regular basis.<\/p>\n<p style=\"text-align: justify;\">In the same way, you regularly give your jackets and coats a wash and fix-up, regularly checking in with your data makes life easier in the long run. Just like sewing up any loose buttons and keeping your garments fresh, it\u2019s a good idea to check in on your data on a monthly or quarterly basis. Remember, if you have a lot of data and many, many inputs, you\u2019ll need to check it more frequently.<\/p>\n<p style=\"text-align: justify;\">Perhaps you have a 3rd party supplier checking your data for you. This is a great idea! But it\u2019s still really important you spot-check your data once in a while to ensure your supplier is fulfilling their obligations.<\/p>\n<p style=\"text-align: justify;\">And, if your team is running the checks for you, make sure you check in with their progress now and then to make sure everyone is following the data COAT standards and they are cleaning, checking and maintain the data in the correct way.<\/p>\n<p style=\"text-align: justify;\">As part of the maintenance process, you should also spot-check your data to make sure it\u2019s clean, just because it was accurate last month, doesn\u2019t mean it will be tomorrow.\u00a0Cut &amp; paste errors and accidental deletions can all happen and it\u2019s important to check for them so that they don\u2019t become a bigger problem, particularly if your data is being used as training data for AI or GenAI.<\/p>\n<h4><strong>So, How Frequently Should I Maintain my Data COAT?<\/strong><\/h4>\n<p>Let\u2019s go back to that winter jacket analogy.<\/p>\n<p style=\"text-align: justify;\">Leaving your jacket or COAT hanging on a coat stand for a week doesn\u2019t matter. It probably doesn\u2019t matter if you leave it for a month or two. But leave that once clean and cozy COAT too long, and by the time you decide you want to wear it again, it\u2019ll smell fusty; it\u2019ll be dusty; the moths might even have had a go\u2026<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-1984\" src=\"https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/Bear-Walsh.webp\" alt=\"\" width=\"480\" height=\"200\" srcset=\"https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/Bear-Walsh.webp 480w, https:\/\/solutionsreview.com\/thought-leaders\/files\/2025\/02\/Bear-Walsh-300x125.webp 300w\" sizes=\"(max-width: 480px) 100vw, 480px\" \/><\/p>\n<p style=\"text-align: justify;\">It\u2019s the same with your data. Data that are not maintained will slowly become unusable over time. Incorrect or conflicting information will build up. AI outputs become corrupted. And because you can\u2019t afford to use bad data, you end up spending significant time or money to fix the problem. Ouch.<\/p>\n<p>Regular data maintenance means:<\/p>\n<ul>\n<li>Better data accuracy for better business decisions.<\/li>\n<li>Avoiding a time-consuming and costly data clean-up operation (because your data won\u2019t slowly become corrupted).<\/li>\n<li>A better-trained and more responsive data team.
